Donation Pick-Up Policy | Ladies Board of Inova Loudoun Hospital

As a non-profit organization dedicated to supporting Inova Loudoun Hospital, the Ladies Board greatly appreciates the generosity of our community. Donations of furniture, household items, and other goods help us fund nursing scholarships, specialty hospital equipment, and other community programs. To ensure we can continue our mission sustainably, we have implemented a donation pick-up cost policy that balances donor convenience with our operational needs.

Pick-Up Service Overview
We offer donation pick-up services for qualifying items within Loudoun County and surrounding areas. Due to the costs associated with transportation, labor, and supplies, we ask donors to share in the expense of this service. Our cost-sharing model is designed to be fair and scalable based on the estimated value of the donation.

Graduated Cost Structure
The following guidelines outline the typical cost-sharing expectations:

Donations valued under $900: Donor responsible for 100% of pick-up costs.
Donations valued between $900–$1,900: Donor responsible for 75% of pick-up costs.
Donations valued between $1,900–$3,000: Donor responsible for 50% of pick-up costs.
Donations valued over $3,000: Donor responsible for 25% of pick-up costs.

Note: Donation value is estimated based on depreciated fair market value and subject to verification by our team.

Additional Considerations

Special Handling: Items requiring special handling (e.g., oversized furniture, fragile items, stairs or difficult access) may incur additional fees.
Scheduling: Pick-ups are scheduled based on availability and logistical feasibility. We appreciate your flexibility. We are committed to providing a prompt response, while coordinating with other businesses whose availability may affect timelines.
Fee Waivers: In exceptional cases, the Ladies Board may waive or reduce fees at its discretion.
Partnerships: We have negotiated moving rates with a local trusted company to offer you an affordable hourly rate. The current rate is $300 per hour for a three man team. You are welcome to hire a different moving company if you prefer. In that case, we will coordinate a mutually agreed-upon date and time to meet your movers at 224 Cornwall Street NW, Leesburg, VA 20176. Please note that you will be responsible for all arrangements and expenses associated with your chosen moving company.
Volunteers: We are fortunate to have a team of dedicated volunteers who assist with packing donations. To help reduce moving costs, our volunteers can arrive ahead of the moving company to pack boxes as needed. Please note, however, that due to safety reasons and liability, volunteers are not permitted to move boxes or furniture.
